About the Position
Ravenscroft and Schmierer is seeking a motivated and reliable Notary Assistant to support our Founder and Notary Public, David Ravenscroft, in the daily operation of our busy notarial practice. This role is ideal for candidates who want hands-on experience in a professional environment, including those exploring legal administration, compliance, or corporate services.

You will work directly with clients, assist in the preparation of notarial documents, perform administrative tasks, and learn essential processes behind notarisation and apostille filings. No prior experience is required. Full training will be provided.

Key Responsibilities
As a Notary Assistant, you will support the Notary Public by assisting with:

Client Communication and Coordination
-
communicating with clients by email, telephone, and in person
-
scheduling appointments and explaining required documents
-
maintaining a professional and courteous manner at all times
Document Preparation and Notarial Work
-
drafting notarial certificates based on templates and supervision
-
compiling documents for notarisation
-
preparing and submitting apostille filings to the High Court or relevant authorities
-
organising physical and digital files for the Notary Public
Compliance and AML Work
-
assisting with AML checks
-
ensuring that all clients meet due diligence requirements
-
maintaining proper recordkeeping and document accuracy
Systems and Tools
-
assisting with client management software
-
familiarity with COREMATTER is beneficial but not required
-
maintaining orderly SharePoint or OneDrive folders
All tasks come with training and close supervision, making this an excellent entry-level role.
